Job Description

Purpose:

The Program Specialist I, under the direction of Department Administrator II, is responsible for overseeing the day-to-day operations of the Department of Computer Science and Engineering Graduate Advising Office. This includes providing quality customer service to internal and external customers (current and prospective students, parents, visitors, faculty, and staff).

Responsibilities:

Communications/Customer Service:

  • Oversees the daily administrative operations of the graduate advising office.

  • Serves as the primary contact between the front desk and the graduate advising team.

  • Greets visitors and assists with appointment scheduling, directions, and general guidance. Collaborates and maintains successful working partnerships with faculty, graduate advisors, and specialty support programs.

  • Respond to inquiries regarding program policies and procedures and provide relevant materials.

Administrative:

  • Provide administrative support to various department committees, which includes scheduling, note-taking, and following up on action items.

  • Maintains department external mailing lists; maintains prospective graduate student folders and schedules.

  • Reserves conference rooms as needed. Orders office supplies and maintains inventory for the Graduate Advising Office.

Event Management:

  • Will plan and oversee the departmental graduate graduation reception, graduate town halls, and additional events as needed.

    Graduate Admissions:

  • Assists Program Specialist for Graduate Admissions during heavy admission periods of the year with responding appropriately to email questions.

  • Verifies and updates records as needed to respond accurately and timely.

Policies and Procedures:

  • Ensures adherence to department, college, and university policies and procedures regarding FERPA and other rules.

Supervision:

  • Hires, trains, and supervises student workers as needed.

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • No experience required.

Knowledge, Skills and Abilities:

  • Knowledge of word processing and spreadsheet applications.

  • Ability to multitask and work cooperatively with others.

  • Excellent verbal and written communication skills.

  • Strong interpersonal, organizational, and customer service skills.

  • Maintains attention to detail and utilizes sound judgment.

  • Main Campus – College Station, TX.
