Northwestern State University's Office of Business Affairs seeks a qualified applicant for the position of Sponsored Programs Coordinator. Reporting to the Director of Sponsored Programs, the Coordinator will provide essential pre-award management support and guidance to faculty, staff, and administration in preparation of agency-specific proposal documents for timely submissions.

Minimum Qualifications

Minimum Qualifications

  • A bachelor's degree from an accredited college or university preferred or equivalent experience in a related field and/or governmental finance may be substituted.

  • Proficiency with Microsoft Office suite of software products to create professional documents, spreadsheets, and presentations.

  • Strong interpersonal and communication skills, both verbal and written.

  • Detail-oriented with a proven ability to work independently as well as collaboratively with on­ campus and off-campus entities to accomplish tasks and projects.

  • Demonstrated organizational skills in handling, directing, and prioritizing multiple and complex assignments and projects.

  • Willingness to participate in professional organizations, including session presentations and workshops.

Preferred Qualifications

  • Knowledge of pre-award processes to include, but not limited to, proposal review, editing, and preparation.

  • Practical knowledge of funding agency regulations, policies, guidelines, and contractual reviews.

  • Demonstrated ability to thrive in a deadline driven environment.

Job Concepts

  • Acts as an Office representative with other University departments.

  • Assists the Director in facilitating and enhancing faculty and staff performance related to securing funding for research and other educational, training, and service grants by managing information resources, identifying grant opportunities, and assisting with proposal development and quality review of proposals.

  • Arranges meetings with faculty across academic programs to discuss specific funding and project opportunities.

  • Disseminates notices about externally based grant workshops and seminars and assists Director with preparation and presentation of internal faculty trainings and workshops.

  • Obtains academic and administrative approvals for proposals in progress.

  • Works collaboratively with faculty and staff in all academic disciplines during the proposal development and submission process.

  • Manages internal Notice of Intent form collections and maintains a list of deadlines for all grants in progress.

  • Ensures compliance with sponsor, state, and university guidelines for grant applications.

  • Advises faculty on institutional pre-award policies and procedures related to sponsored projects.

  • Maintains the pre-award tracking database to provide accurate reporting documentation.

  • Develops and maintains data that can be used to publicize activities and accomplishments of sponsored projects, both those of NSU faculty and of the Sponsored Programs Office.

  • Performs a wide variety of administrative and accounting tasks and duties as assigned by Business Affairs leadership to satisfy overall departmental needs.
