Job ID360170 LocationTwin Cities Job FamilyLR-Clerical Full/Part TimeFull-Time Regular/TemporaryRegular Job Code1897 Employee ClassAFSCME Unit 6 - Clerical About the Job Serve as the main point person for the Program of Mortuary Science's current students, prospective students, program instructors, other academic advisers, UMN departments, and general inquiries from the public and other schools. Provides administrative support for admissions review, degree completion plans, course schedules, program events, and financial processes. Duties/Responsibilities: 30%: Support Relating to Student Activities and Needs Serve as the main point person for prospective and current students, referring them to appropriate services and staff as needed. Respond to inquiries about the Mortuary Science Program from various stakeholders via email, phone, and walk-ins. Assist with recruiting and evaluating candidates for admission, including managing admissions applications and liaising with the University's Office of Admissions. Conduct tours of mortuary science teaching areas for prospective students and their families. Enter student degree plan information and provide guidance on course registration and enrollment. Review student records to ensure timely progress towards graduation requirements. Submit graduation and licensure examination clearances and notify students of upcoming deadlines. Attend campus visit days at area colleges and update mortuary science transfer guides. Provide information about available resources within the University and Program policies. 60%: General Program Support Work / Assistance to the Program Director Write documents, order supplies, and communicate with stakeholders about program-related subjects. Conduct program tours for students, including access to teaching laboratories and selection rooms. Manage the course schedule, request classrooms, and assist with course development. Assist with announcements and registration for continuing education events. Perform office support tasks such as typing, ordering supplies, and managing finances. Help with surveys of graduates and employers and plan graduation ceremonies. Assist in planning orientation sessions and represent the Program at university-wide meetings and events. Maintain lab calendars, schedule maintenance, and manage copier supplies. 10%: Program Support Solicit textbook and class material orders, submit orders to the bookstore, and manage lab supply requisitions. Proctor makeup tests, provide counsel to instructors, and assist with facilities management and locker assignments. Order office supplies, arrange school bus services, and direct instructors to technology and student learning resources. Assist instructors with expense reports and report maintenance issues to Facilities Management. Qualifications Required Qualifications: High School Diploma/GED and five years of related experience to include project management. Coursework in related filed may substitute for some years of experience. Excellent oral and written communication skills. Strong interpersonal skills and ability to collaborate effectively, as well as work independently. Organized, motivated, and respectful demeanor. Experience in database and spreadsheet management. Comfortable dealing with topics related to death, funerals, grief, and bereavement. Work Arrangements: This is a hybrid position. Work on-campus work will typically be required at least four days per week during Fall and Spring Semesters; during other times of the year (typically summer months and over winter break) on-campus work will typically be required at least three days per week, per agreement with position supervisor, depending on program needs.
